Instructor’s Guide for Submitting Reserves Requests

Submitting Requests

Instructors can either submit their requests online, and need to acknowledge that they have read the Libraries' Copyright Policy and understand that they are responsible for making sure that the materials they are requesting be placed on reserve are in compliance with that policy. The Libraries' Policy for course reserve services is derived from the fair use provisions of the United States Copyright Act of 1976.

Requests will be processed in the order in which they are received. Instructors are encouraged to submit their requests in advance of the start of the Quarter in order to ensure that items will be available for timely student access.

Complete Citations

Requested material will need to include a full citation in order for UCSD Libraries staff to efficiently and accurately identify and retrieve items. If a reproduction of an item is provided, please include a copy of the title and verso pages or other information that identifies the copyright holder.

Re-posting

Requests to re-post material previously determined to comply with the Libraries' Copyright Policy and posted in Reserves will be evaluated to determine whether copyright permission needs to be sought in order to re-post it and/or whether fees need to be paid. In those cases in which securing copyright permission to re-post material requires that fees be paid, usage fees of up to $40.00 per document or $4.00 per student will be routinely paid.

Posting of Student-Created Materials

In order to comply with the terms of the Family Educational Rights and Privacy Act (FERPA), the UCSD Libraries require that student authors or creators sign a release form.

Overview of Reserves Program

Libraries

  • place material on reserve at the request of faculty solely for non-commercial, educational use by students provided that the posting of the requested material complies with copyright law.
  • whenever possible, purchase or license materials to be copied or scanned for course reserves.
  • will not charge for access. The charge for copies of textual materials made by students will be limited to the nominal cost of photocopies or laser prints.
  • will place a copyright notice on the screen in the online reserve system and on physical copies made of reserve readings to indicate that materials may be covered by copyright law.
  • will remove access to electronic files from the reserve system when the files are no longer used for reserve services or no longer comply with copyright law.

Instructors

  • will determine if reserve readings are in compliance with fair use.
  • will provide clean photocopies and/or citations for material to be placed on reserve.
  • will make appropriate use of University resources by ensuring that reserve materials are necessary readings for students in the class.
  • will indicate that copyright permission has been obtained when personal copies of documents are asked to be placed on reserve.
