EndNote frequently Asked Questions

  • Connecting to a database
  • Connecting to a database from off-campus
  • Emailing article records
  • Inserting page numbers
  • Inserting text footnotes
  • Creating a list of References

I can't connect to a database from within my bibliographic software program.

In order to connect to a database from within a bibliographic software program, you must first download a connection file*. Select one of the following links for information on connection files:

Biomedical
Sciences & Engineering
Social Sciences & Humanities

*The connect feature is useful for quick article "look-ups" by title or author, i.e. when you have identified a source and need to find the complete bibliographic citation. However, the UCSD Libraries recommend searching databases such as Expanded Academic ASAP, PubMed, or PsycInfo directly for a more powerful, accurate search. After conducting a database search, you many then import selected records into your bibliographic software program.

I can't connect to a database from within my bibliographic software program from off-campus.

Unfortunately, you can not use the connect feature within your bibliographic software program if you are accessing UCSD licensed databases off-campus through the UCSD proxy server. The connect feature will only work if your PC is connected to the UCSD network or the VPN (Virtual Private Network), however, Pubmed and Melvyl will work via proxy. For more information on VPN, go to http://www-no.ucsd.edu/documentation/vpn/

I can email article records from an article database to myself, but I don't know how to download them into my bibliographic software program.

You will need to download a filter to import saved records into your bibliographic software program. To make use of filters, you first conduct a search in a database (e.g. MLA Bibliography, BIOSIS, SocAbstracts) and then download your search results to your PC in a tagged format. You then import search results into your bibliographic software program by choosing the Import command and selecting the proper filter for that database.

Select one of the following links for information on how to download filters:

Biomedical
Sciences & Engineering

How do you insert page numbers?

To do this, use "Edit Citation" on the EndNote toolbar in Word.

First, insert the reference into a Word document. (The reference will then appear wherever your cursor is in the Word document). Now go to "Edit Citation" in the toolbar. An "Edit EndNote Citation" panel will open up; the reference will appear in a small window on the left hand side. Insert the page number in the "Prefix" box on the right hand side of the panel. The page number will immediately appear in the small window on the left in which the citation is displayed. But the page number may NOT appear in the body of the text itself DEPENDING ON THE STYLE YOU HAVE SELECTED. So, do not be puzzled if the page # does not immediately appear in the text--you can always change the style later, knowing that the program has kept a record of the page number for that citation. If you choose a style that displays page numbers in the EndNote reference, the page will appear in your essay.

You will have to use the "Edit Citation" feature each time you want to include a page number.

How do you insert text footnotes?

Proceed as normal using the "Insert footnote" function built into Word.

How do I create a list of references?

EndNote refers to these as "independent bibliographies" and there are 4 ways to do it:

  1. Drag and drop selected references into a Word document.
  2. Under the EndNote Edit menu, select "Copy Formatted" to copy references to the clipboard, then paste them into your document.
  3. Export selected refs (File/export then save and open in a Word doc.).
  4. Print selected references directly from EndNote.
