Duplication & Use of Archives Materials

Search For Materials

Scripps Archives does not charge search fees, and staff will search for material at researcher request for twenty minutes or so. Researchers who need extensive searches should look through the folder list for the collections involved as a first step, and identify areas of interest; staff may be able to look into those within our time constraints. Researchers who cannot undertake the research themselves may contact UCSD Libraries PLUS Program.

Duplication of Archives Materials

Requestors submit a Photocopy Request form to Scripps Archives. All duplication costs are charged to the researcher. It is the responsibility of the researcher to ask for a price estimate in advance, before submitting a Photocopy Request form.

Materials held by Scripps Archives are duplicated exclusively by staff. Researchers may request copies for their own personal use provided there are no copyright constraints. Researchers are required to fill out a Request for Duplication form. Requests for duplication are reviewed by the staff, and are accepted according to the following criteria:

  • the request can be completed without damaging the item
  • the request complies with SIO Archives donor agreements
  • the request does not violate U.S. Copyright Law

Duplication requests are filled as time permits, and large orders can take weeks to complete. We do not provide rush service due to staffing constraints.

Special conditions may apply when requesting duplication of unpublished materials. Most unpublished manuscripts, recordings, moving images and photographs in the Scripps Archives are protected by copyright law. Copies of this material may be made if they are solely for the research use of the researcher; further duplication of such copies is not permitted. In making copies of material in its collections, Scripps Archives does not thereby grant permission to reproduce or quote from the material for publication. Researchers assume full responsibility for any infringement of copyright or publication rights.

Photocopies:Scripps Archives charges $ 0.25 per page for photocopying for letter/legal sized material. Copies of large format items like blueprints cost $7 per item. Shipping costs are passed on to researchers who request material to be sent to them. A minimum fee of $5 is charged on all mailed orders.

Still Images: Thousands of our images are available online as high resolution JPEG images. We also hold these images as higher resolution TIF images. Scripps Archives will scan on-demand a very modest quantity of images in our collection by request if these images are not available online.

Audio / Video / Film:Scripps Archives has digitized a substantial amount of its audio, video, and film holdings. By advance arrangement, digital viewing copies can be made available for use in Scripps Archives. For materials not restricted by copyright, digital viewing copies may be copied to DVD for patrons for personal use for a minimum fee of $10/title. plus postage to researchers. For materials not restricted by copyright, requests for broadcast-quality film products are reviewed on a case by case basis. Scripps Archives works with a professional film laboratory, and passes on all costs to the researcher including the cost to produce a copy for the Scripps Archives collection. Researchers should discuss their requests for film products with the Scripps Archives staff well in advance of need; due to staffing constraints, we do not provide a rush service.

Shipping Fees

Scripps Archives charges a minimum $5.00 fee on every order mailed at researcher request, and the total shipping cost is passed on to the researcher.

Use Fees

Scripps Archives charges the following use fees for publication/broadcast/use of material. Use fees apply to all uses of Scripps Archives material with one exception. UC faculty, staff, and students will not be charged use fees for one-time non-exclusive rights for publication/use in a single non-commercial scholarly work. The fees apply to the use of images, facsimilies, and audiotape only; there is no fee for publishing brief transcribed quotations. The use fee is independent of any additional costs that the holder of copyright may choose to levy, and this fee is in addition to any duplication costs associated with preparing reproductions suitable for publication/broadcast.
